Outlook emails stuck in Outbox fix guide

You hit Send on an important email, and Outlook seems to take it. Then you glance at the folder list and spot a little “(1)” next to Outbox. Ten minutes later, it’s still there. Your client hasn’t replied, and that’s because they never got it.

If you’re dealing with Outlook emails stuck in Outbox, you’re far from alone, and the fix is usually simpler than it feels. In this guide, we’ll go through the most common reasons Outlook mail gets stuck, then walk through seven fixes in order, starting with the quickest. We’ll also show you how to delete an email that refuses to leave the Outbox.

What Is the Outlook Outbox?

The Outbox is a temporary holding folder. When you click Send, Outlook doesn’t push the message straight to the recipient. It parks it in the Outbox first, then delivers it as soon as it can connect to your mail server. Normally that takes a second or two, and the email moves to Sent Items.

When something blocks that handoff, the message just sits there. That’s what “stuck in the Outbox” means.

Why Are Outlook Emails Stuck in Outbox?

Most cases come down to a handful of causes:

  • Outlook is working offline. It’s easy to switch this on by accident, and Outlook will happily queue everything without telling you loudly.
  • The attachment is too big. Many email providers cap messages at roughly 20 to 25 MB, and Outlook can’t send anything over the limit.
  • The message is still open. If a draft window is open somewhere, Outlook treats the item as in use and won’t send it.
  • Account or password problems. A changed password, an expired sign-in, or a hidden login prompt can block sending.
  • A faulty add-in. Security and email-scanning add-ins are common culprits.
  • A damaged Outlook profile or data file. This is less common, but it happens.
  • A weak or unstable internet connection.

7 Ways to Fix Outlook Emails Stuck in Outbox

Work through these in order. Most people are sorted by the third one.

Fix 1: Check Your Internet and Turn Off Work Offline

Start with the obvious when you see Outlook emails stuck in outbox. Look at the bottom of the Outlook window. If you see “Working Offline” or “Disconnected,” that’s your answer.

  1. Open the Send / Receive tab.
  2. Look at the Work Offline button. If it’s highlighted or shaded, Outlook is offline.
  3. Click it once to switch back online.
  4. Press F9 to run Send/Receive and see whether the Outbox empties.

Also open a web page to confirm your internet is actually working. If it isn’t, restart your router and try again.

Using the new Outlook? It doesn’t have a Work Offline button, so check the connection status in the app and make sure your internet is working. Then sign out, sign back in, and see whether the Outbox empties.

Fix 2: Close the Message and Resend It

This one sounds too simple, but it works a lot. If the stuck email is open in its own window, Outlook can’t send it.

  1. Close any open message windows.
  2. Go to the Outbox folder.
  3. Double-click the stuck email, check the recipient, and click Send again.
  4. If that doesn’t work, drag the email into Drafts, open it from there, and send it.

Fix 3: Check the Attachment Size

A large attachment is one of the most common reasons for Outlook emails stuck in outbox. Open the stuck message and look at the file sizes. If the total is over about 20 MB, remove the attachment and upload the file to OneDrive, Google Drive, or Dropbox instead. Then paste the share link into the email and send it.

Compressing the file into a ZIP can help too, though it doesn’t always shrink things enough.

Microsoft also lists a large attachment as the most likely cause, as explained in Microsoft’s guide to emails stuck in the Outbox.

Fix 4: Check Your Account and Password

Sometimes Outlook is quietly waiting for you to sign in again, and the prompt is hidden behind another window. Look at your taskbar for a hidden Outlook or Microsoft sign-in box. If you recently changed your email password, update it in Outlook too.

  1. Go to File > Account Settings > Account Settings.
  2. Select your email account and click Repair (or Change, depending on your version).
  3. Follow the prompts and sign in again.

If you use Gmail, Yahoo, or another provider through IMAP or POP, you may need an app password or a fresh sign-in through your provider’s security settings.

Fix 5: Start Outlook in Safe Mode

Safe mode starts Outlook without add-ins. If your email sends in safe mode, an add-in is the problem.

  1. Close Outlook completely.
  2. Hold down the Ctrl key and double-click the Outlook icon.
  3. Click Yes when asked whether to start in safe mode.
  4. Try sending the email from the Outbox.

If it works, go to File > Options > Add-ins, manage COM Add-ins, and turn them off one by one until you find the culprit.

Fix 6: Repair or Recreate Your Outlook Profile

A damaged profile can stop mail from sending even when everything else looks fine.

  1. Close Outlook and open Control Panel > Mail > Show Profiles.
  2. Click Add and create a new profile with your email account.
  3. Choose the new profile under “Always use this profile” and open Outlook.
  4. Check whether your mail sends. If it does, you can remove the old profile.

Using the new Outlook for Windows instead? Sign out and back in, then try removing and re-adding the account under Settings > Accounts. Also make sure the app is up to date.

Fix 7: Repair Microsoft Office and Check Your Data File

If nothing so far has worked, the Office installation or your data file may be damaged.

  1. Open Settings > Apps > Installed apps and select Microsoft 365 (or your Office version).
  2. Choose Modify, then run Quick Repair.
  3. If the problem continues, run Online Repair.

A corrupted PST file can also cause sending errors. Our guide to Outlook PST file repair walks through how to fix it. It’s also worth knowing that Office 2016 and 2019 lost Microsoft support in October 2025, so very old versions are more likely to misbehave.

How to Delete an Email Stuck in the Outlook Outbox

Sometimes an email gets stuck so badly you can’t even delete it. You click Delete and nothing happens, or Outlook says the item is in use. Here’s the trick:

  1. Click Send / Receive > Work Offline to disconnect Outlook from the server.
  2. Open the Outbox, select the stuck email, and press Delete (or drag it to Drafts).
  3. Click Work Offline again to go back online.
  4. Press F9 to confirm the Outbox is empty.

Going offline stops Outlook from trying to send the message, which releases it so you can remove or edit it.
